Privacy Policy

How SoloPipeline handles the account, workspace, proposal, AI, contact, and billing information needed to run the product.

Information we collect

We collect information needed to operate SoloPipeline, including account details such as email address, authentication data, display preferences, profile details, and settings.

We also process the workspace content you choose to add, including leads (which may contain third-party client contact details), notes, follow-ups, proposals, proposal metadata, library items, dashboard inputs, billing profile details, invoice recipient details, and contact messages you send through our forms.

Technical data such as IP address, browser type, and request logs may be processed by our hosting provider for security and reliability.

How we use information

We use information to provide and secure your authenticated workspace, save your pipeline data, generate proposal drafts, display analytics, manage plan access, send billing or contact emails, and respond to support or product inquiries.

We may also use limited technical and usage information to troubleshoot issues, prevent abuse, improve product quality, and understand whether SoloPipeline is helping freelancers move from lead to proposal to follow-up more efficiently.

AI proposal processing

When you use AI-assisted proposal features, SoloPipeline sends selected context to OpenAI to produce a draft. This typically includes lead title, company, brief text, proposal settings, and profile skills—not your account password.

Email addresses and phone numbers in lead text are redacted before sending to OpenAI unless you explicitly opt in per generation. You are responsible for reviewing AI output before sharing it with clients.

AI usage is limited by your subscription plan and in-product quotas. See our technical documentation for field-level detail.

Subprocessors

We rely on the following categories of service providers. Each processes data only to deliver their service to SoloPipeline:

Supabase (authentication, database, file storage) — account and workspace data.

Vercel (application hosting, edge delivery, operational logs) — technical request data.

Paddle (subscription billing, where enabled) — billing identifiers and subscription status.

OpenAI (AI proposal drafts, when you use the feature) — minimized prompt context as described above.

Resend (transactional email) — recipient addresses and message content for notifications you trigger.

Google (optional OAuth sign-in) — basic profile and email if you choose “Continue with Google”.

We do not sell your workspace content. Subprocessors are expected to protect data under their own terms and, where applicable, data processing agreements.

Billing and invoice information

SoloPipeline may store billing profile preferences, selected plan, billing cycle, renewal information, preferred payment method labels, invoice recipient email, invoice details, and invoice history where these features are available.

If payment processing is offered through a third-party provider, payment details are handled by that provider according to its own terms and privacy practices. SoloPipeline should not receive or store raw card security codes through normal payment flows.

How we share information

We may share information with the subprocessors listed above, when you direct us to do so, when needed to operate product features, to comply with legal obligations, to protect rights and safety, or as part of a business transfer such as a merger or acquisition.

Your proposal drafts, leads, and library content remain part of your workspace unless you choose to export, send, copy, or otherwise share them outside SoloPipeline.

Security

SoloPipeline is designed around authenticated access and user-owned workspace records. We use technical and organizational safeguards appropriate for a lightweight SaaS product, including provider-level security controls, row-level security, rate limits, and optional two-factor authentication (TOTP).

No online service can guarantee perfect security. Use a strong password (12+ characters), enable MFA when you store client data, protect your email account, and sign out from shared devices.

Retention

We keep information for as long as needed to provide SoloPipeline, maintain your account, support product operations, comply with legal or accounting obligations, resolve disputes, and enforce agreements.

Contact form and support messages (name, email, subject, message, and related delivery metadata) are stored for operational follow-up and are automatically deleted after 180 days unless a longer period is required for a specific legal or support matter.

If you delete information or close your account, workspace rows tied to your user are removed through database cascade rules; avatar files are deleted from storage. Some records may remain in backups, logs, billing records, or compliance archives for a limited period where necessary.

Your choices and rights

You can update many account, display, profile, and billing settings from the product settings area. You can create, edit, export, or delete workspace records where the product provides those controls.

Download a portable copy of your data from Settings → Account → Privacy and data portability.

Delete your account from Settings → Account → Deactivation to remove your auth user and cascaded workspace data.

Depending on your location, you may have rights to access, correct, delete, restrict, or export certain personal information. Contact support@solopipeline.com for privacy requests or questions about legal bases and data processing agreements.

Children and international use

SoloPipeline is intended for freelancers and professional users, not for children. We do not knowingly collect personal information from children.

SoloPipeline and its providers may process information in countries other than your own. By using the product, you understand that information may be transferred and processed where our providers operate.
